Overview
A trucking academy secretary is responsible for performing a variety of administrative tasks, including managing schedules, handling phone calls, filing paperwork, coordinating student registrations, maintaining student records, and providing general office support to the academy staff, all while ensuring smooth operations within the trucking academy environment; they often act as the primary point of contact for potential students and their families inquiring about training programs.
Pay: $23-$27/hour first year
Schedule: Tuesday-Saturday

Key Responsibilities:
Administrative Support:
- Answering phone calls and directing inquiries to the appropriate staff members.
- Scheduling appointments for potential students, instructors, and other stakeholders.
- Managing the academy calendar and coordinating meeting schedules.
- Maintaining student records, including personal information, academic progress, and driving test results.
- Processing registration forms and collecting necessary documentation for new students.
- Preparing and distributing course materials, schedules, and important announcements.
Communication and Customer Service:
- Providing information to potential students about programs, costs, and enrollment procedures.
- Communicating with current students regarding class updates, schedule changes, and important deadlines.
- Responding to inquiries from parents, employers, and other external parties.
- Maintaining a professional and welcoming demeanor when interacting with visitors and phone callers.
Office Management:
- Managing office supplies and ensuring adequate inventory.
- Maintaining filing systems for student records, administrative documents, and correspondence.
- Creating and updating spreadsheets and reports on student enrollment, attendance, and course completion.
- Assisting with administrative tasks such as copying, faxing, and mailing.
Required Skills and Qualifications:
- Excellent communication skills: Ability to clearly communicate information both verbally and in writing to a diverse range of individuals.
- Strong organizational skills: Efficiently managing multiple tasks and deadlines with attention to detail.
- Proficiency in Microsoft Office Suite: Competency in word processing, spreadsheet, and email applications.
- Customer service focus: Providing excellent service to students, potential students, and other stakeholders.
- Data entry accuracy: Precisely inputting and maintaining student information in databases.
