POSITION SUMMARY
The Support Coordinator performs a variety of moderate to complex assignments in support of the day-to-day operations of three GEAR UP grants serving a total of ten schools with a $4.5 million-dollar budget. Incumbent supports, one Associate Director, five Site Supervisors, thirteen professional staff, and approximately 18-25 tutors and student assistants, under the general direction of the Associate Director of GEAR UP, with general oversight of the Senior Director of Early Outreach and Support programs, and in collaboration with the post-award specialist the Support Coordinator performs a variety of general accounting, financial, and administrative duties in support of the GEAR UP grants. The Support Coordinator is responsible to collect and maintain documentation of cost share provided by district, campus, community, and school partners and maintain successful relationships with partners as a primary contact with regard to cost share (50%). The other 50% of the time is spent coordinating academic tutors, including recruiting, facilitating hiring, training, and evaluating all academic tutors.

Examples of Duties

ESSENTIAL DUTIES AND RESPONSIBILITIES include. but are not limited to. the following:

• Develop and implement cost share forms.
• Train and support grant staff in the use of all data collection tools, including managing program databases.
• Create training tools, handouts, spreadsheets, and other computer-based tools to increase staff efficiency and knowledge in data collection.
• Oversee all documentation to audit standards, including the match documents, time and effort reports, and program outcomes.
• Oversee match collection from multiple grant partners, schools, and school district partners.
• Assist staff with match collections and documentation
• Compute, prepare and file financial and operating reports to summarize total amounts of federal funds utilized by the GEAR UP projects to compare with updated in-kind and cost share funds
• Research or obtain quotes, published prices or independent appraisals used as the basis for donated equipment, supplies, buildings, or use of space
• Document fiscal verification from partner organizations for services provided by their employees.
• Responsible for ensuring proper documentation is collected, maintained, and presented in an organized manner for easy tracking and retrieval of information.
• Work with University Corporation accounting staff to verify GEAR UP expenses to maintain reconciled files of match documentation.
• Responsible for updating and maintaining program database information imports.
• Manage relationship with grant database vendor.
• Assist Associate Director with researching, maintaining, and developing new community partners.
• Handle sensitive and/or confidential documents and information where judgement and discretion are essential.
• Ensure confidentiality of all program records and other sensitive information
• Manage program development by interacting with students to assess needs while doing evaluation of the tutor program from all angles [tutor/program; student/tutor; tutor/student; and student/program]
• Assist with the coordination of student employment standardization and practices
• Develop and maintain a tutorial handbook of policies and procedures
• Perform a variety of administrative duties in support of the GEAR UP grant including maintaining documentation files of all services, correspondence, reports, procedures, and presentations related to the GEAR-UP program; and developing outreach materials, including newsletters and social media sites.
• Serve as liaison between high school faculty, staff, administrators, and CSUMB; attend GEAR UP school, college, community and parent meetings to promote the GEAR UP program.

OTHER FUNCTIONS

• Represents the GEAR UP programs at university functions and at statewide and national meetings, as necessary
• Attends relevant national, regional, and local professional development conferences, workshops and seminars.
• Promotes and maintains an atmosphere of excellent internal and external customer service within the department and the campus community
• Performs other duties as assigned.

Qualifications

MINIMUM QUALIFICATIONS
Education and Experience:

• Equivalent to three years of progressively increasing responsibility performed under supervision that involved supporting, monitoring and coordinating work through a system of internal procedures and internal controls to ensure the efficient operation of an organization.
• Education, year for year, may be used to satisfy the work requirement for up to two years of work experience

SPECIALIZED SKILLS REQUIRED:
Demonstrated experience that clearly provides evidence of the knowledge and skills required to perform each essential duty satisfactorily. (The requirements identified above are representative of the knowledge, skills and/or abilities required.)

The hourly hiring range for this position is $25 – $27. Classification: Grade 4, Staff.
