Examples of Duties

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include. but are not limited to. the following:

 

Runs the daily operations of the office under the direction of the Center Director. Acts as the primary contact for clients, faculty and staff, and payers; schedules clients in the Electronic Health Record (EHR) and assists with appointment preparation. Leads authorization of the center to become an eligible Medi-Cal and other commercial insurance providers. Receives and acts on authorizations for treatment, schedules patients, receives payments, prepares the monthly deposits and report, and receives and verifies the monthly financial report that is presented to the Coordinator, and reconciles client accounts. In addition, the office staff maintains supplies, makes purchases using purchase orders, checks, or credit cards, and notifies internal and external agencies of maintenance needs.

 

Computer work, including but not limited to insurance payment, patient account, and budget reconciliation; using the various electronic medical record systems to schedule clients, add clients, or document billing information. Links to various insurance company billing systems to enter monthly billing. Responds to emails addressed to self or to the clinic. Acts on invoices for clients and assists with computer-based hearing aid orders.

 

Phone work, including but not limited to answering clinic office phones, calling case managers for authorizations, and responding to patient inquiries. Also includes calling supervisors and students when clients cancel; and assisting clients who receive therapy via telepractice with their Zoom connections.

 

Other work, as assigned, includes providing guidance to the clinic assistants and overseeing their work product; maintaining supplies and upkeep of the clinic areas, coordinating with other university or outside departments, communicating with the Center Coordinator about operations in the clinic.

KNOWLEDGE, SKILLS, AND ABILITIES

 

• Required experience with creating systems to bill insurance companies and Medi-Cal.

 

• Enthusiastic about working for an organization that helps children and adults with their communication and hearing needs.

 

• Electronic Health Records and billing systems.

 

• Microsoft Office suite, including Word, Excel, Teams, and Access.

 

• Google Office suite

 

• Able to respond to and provide help to people with communication, hearing, or cognitive difficulties.

 

• Able to work as part of a team, a team that includes faculty, staff, and students (clinic assistants).

 

• Able to manage more than one task at a time, including taking care of clients at the front office window, managing the phones, and helping faculty who walk in the office for help.

 

• Able to give clear instructions and adapt the message if the instructions were not understood.

 

• Preferred English/Spanish bilingual.

The hourly hiring range for this position is $20.22-$24.80. Classification. This is a temporary, non-benefited position. This is a non-exempt position and as such is eligible for the overtime provisions of the Fair Labor Standards Act.
