Administrative Accounting Assistant

Schedule: Monday – Friday, 8:30 AM – 5:00 PM (occasional overtime and Saturdays)

  • Experience: Possess a minimum of 3–5 years of progressive, full‑time accounting experience, with a strong background in invoicing, accounts payable, accounts receivable, and payroll management.

Scope of Position

As our Administrative Accounting Assistant, you’ll play a vital role in supporting the Office Manager and accounting team. Responsibilities are prioritized below from most critical to supportive:

  • Support weekly payroll processing and address payroll discrepancies across multiple states, maintaining regulatory compliance and fostering employee satisfaction.
  • Prepare and issue multiple client invoices each week to guarantee precision and sustain cash flow.
  • Process accounts payable and receivable to ensure accurate and timely financial transactions.
  • Serve as liaison between headquarters and satellite offices to streamline communication and operations.
  • Assist with reconciling accounts.
  • Assist with employee benefits administration and office policy implementation to support HR functions.
  • Coordinate meetings and prepare business documents for management and staff.
  • Maintain office supplies and filing systems to keep operations organized.
  • Deliver excellent customer service and uphold a professional office environment in all interactions.

Required Skills

  • 5+ years of experience in administrative and bookkeeping roles (A/R, A/P, Payroll).
  • Intermediate proficiency in MS Office (Word, Excel, PowerPoint) and QuickBooks Online.
  • Typing speed of at least 50 WPM.
  • Strong communication, time management, and problem-solving skills.
  • Exceptional attention to detail and ability to multitask.
  • Professional phone/email etiquette and positive attitude.
  • Bilingual/biliterate is a plus.

Preferred Education

  • Bachelor’s degree in Accounting, Business Administration, or related field desired.

Physical & Work Environment

  • Office setting with moderate noise.
  • Frequent sitting, filing, and keyboarding, grasping & reaching.
  • Occasional lifting (up to 30 lbs.), bending, and walking, climbing stairs.
