Director of Payroll is the oversight of payroll department and all related functions. Provide leadership and direction for the Payroll Team, consisting of 1 Manager & 2 Hourly employees; including mentoring and coaching, with a strong investment in development. Manage to end payroll process for 1850 non-union and union employees; ensure all payroll transactions are processed accurately and timely through to completion of all quarterly and annual regulatory filing requirements. Reports directly to the CFO and operates as part of the finance leadership team. This individual is a key stakeholder working with IT & HR to oversee the management of the HRIS system. Also works collaboratively with operations to facilitate all pay scenarios required to operate the complex business. Able to adapt as business needs change.

Essential Duties & Responsibilities:
Clear understanding of base rate vs. regular rate due to complexities of multiple types of pay, including commissions, service charges, piece rate, gratuities, etc., across 7 major divisions: Rooms, Food & Beverage, Golf, Clubs, Retail, Spa, and ancillary/other.
Be an expert; have an extensive understanding of all Federal and California regulatory payroll guidelines in compliance with all labor codes, FLSA, and other pay regulations.
Manage compliance with all payroll regulations, including but not limited to, payment processing, payroll tax, 401K, sick, vacation, and garnishments.
Understand pay in the hospitality industry, and be an expert in Wage and Hour Regulations and overtime.
Provide leadership and direction for the Payroll Team; including mentoring and coaching, with a strong investment in development.
Educate and ensure Payroll Team is properly trained; provide leadership to enhance performance, quality and productivity.
Interact and communicate with Accounting, Human Resources, Legal, resort Managers, and Employees regarding payroll concerns.
Excellent written and verbal communication skills, including ability to present to leaders in the company.
Oversee the preparation and submission of all tax payments and filings. Must have first hand knowledge:
1. Federal and state tax payments per regulatory requirements
2. Quarterly 941 and state tax filing returns per regulatory requirements
3. Annual tax filings – 940, 8027, W-2’s, and any other related returns per regulatory requirements.
Oversee and review Quarterly all non-union hourly 401k earnings based on Plan’s eligibility requirements.
Assist FY financial planning with historical pay reports.
Maintain payroll system through semimonthly, quarterly and year end audits, including periodic review of employee master files.
Prepare various reports, including payroll hour summaries.
Prepare and set-up year end requirements.
Perform annual 401K Non-Discrimination testing ensuring timely submission
Perform union UNITE HERE pension audit – once every 3 years – ensuring timely submission
Assist Accounting in all external audits ensuring timely submission of all requests
Assist Legal department in all requests. Advise Legal department regarding any non-compliance issues.
Research and setup new states for employment taxes, if required.
Assist/update system changes when required, i.e., tax law changes, implementation of new systems, etc.
Maintain documents and reports, especially of workers’ compensation and pension data for external audits.
All other tasks as assigned.
Required Skills:
Working knowledge of UKG or similar major timekeeping/payroll system.
Extended knowledge of Microsoft Excel Spreadsheet making use of computational formulas and reporting.
Excellent analytical skills to recognize issues and how to correct.
Extensive understanding of all Federal/California regulatory payroll guidelines in compliance with all labor codes, FLSA, and other pay regulations.
Accurate filing skills critical, as well as ability to type and perform basic bookkeeping.
Must be able to work in an accurate, organized and efficient manner.
Excellent customer service skills.
Great communication skills required.
Desired Skills:
Bachelor’s degree in Accounting or Finance preferred
Minimum of (7) years payroll experience in high volume, fast paced environment using in-house processing vs. 100% outsourced payroll system
Experience in software implementation and/or conversions
Payroll experience in the State of California
Minimum of (5) year Payroll managerial experience
Certified Payroll Professional (CPP)
