Job Specifications
The Human Resources Manager will support with the recruitment and selection of staff,
maintaining the appropriate tracking and knowledge of teacher credentialing, managing
leave administration and the interactive process for accommodations, substitute teacher
staffing and management and assisting in documenting the evaluation process for the
school. HR Manager plans, organizes and carries out complex departmental projects,
policies and processes supporting the entire organization. This position reports to the
Operations Director.
This is a classified, non-exempt position.
Minimum Qualifications
● Bachelor’s degree or HR related experience may be substituted for the required
education on a year-for-year basis (eg. substitute four years experience for a
bachelor’s degree)
Required Skills
● State and federal fingerprint clearance (Live Scan)
● Proof of a clear TB test or Assessment from within the last four years
● Strong oral and written communication skills
● Strong interpersonal skills
● Ability to use personal computers, including word processing, and email
● Hold and maintain a valid California Driver’s license
● Records management
Desirable Qualifications
● Minimum of three years of related human resources experience desired

Essential Duties Related to Hiring and Recruitment
● Recruit for open positions and assist in recruiting activities including sourcing and
screening applicants, maintaining recruiting systems, drafting offer letters or contracts,
providing follow-through with candidates, supporting the hiring team, and reporting
recruiting statistics.
● Assist in drafting and updating job descriptions; assist in classifying positions and/or
reclassifying positions as needed.
● Ensures paperwork for position and hiring approvals are properly prepared, routed and
secured.
● Lead employee on-boarding activities; answer employee questions and provide support
to managers when integrating new hires into the organization.
● Ensures all onboarding documentation and processes are appropriately completed as
per school and legal requirements.
● Administers I-9 program, including issuing forms to new employees, verifying eligibility
of employment, completing and signing off on forms, and maintaining accurate files.
● Processes fingerprints and subsequent arrest notifications for employees through the
California Department of Justice.
● Conducts reference checks as needed.
● Initiates and executes employment contracts and maintains tracking and records for all
contracts.
● Administer employee benefit programs in conjunction with the Finance Manager,
answer employee questions, support claim resolution, and maintain related systems.
● Manages and ensures completion of assigned projects on time, to specifications and
with accuracy and efficiency from start to finish.
● Assist with updating the Employee Handbook annually and as needed according to any
state and federal legislation and school policies.
● Outlines the tasks involved and manages accordingly throughout the project.
● Maintains and completes processes for off-boarding and record keeping.

● Coordinate the hiring and onboarding of substitute teachers.
● Utilizes and maintains the substitute teacher software system and daily substitute
teacher needs.
● Works in collaboration with leadership staff for recruitment, onboarding and
management of interns and service learning students.
Essential Duties Related to Employee Training
● Plan and schedule training sessions for employees.
● Facilitates training sessions or arrange for external vendors to conduct training.
● Keep accurate records of employee training to ensure compliance with regulatory
requirements and to support employee career development.Collaborate with other
departments: Work with other departments, such as the administration, to ensure that
employee training aligns with the school’s strategic goals and objectives.
Essential Duties of Credentialing and Authorizations
● Work collaboratively with designated personnel with hiring, audits, and verification of
credentialing requirements to ensure compliance; and identifies a plan of action for
certificated personnel as needed.
● Tracks credentials and authorizations for teaching staff, maintaining all school records
and systems.
● Verifies and evaluates transcripts, records and applications for the California Teacher
Credentialing (CTC) to determine staff and candidate eligibility.
● Processes applications and other documents with the CTC to ensure all certificated staff
hold valid and appropriate credentials.
● Keeps the school current on CTC and California Department of Education requirements
and regulations in terms of credentialing and staff assignment.
● Communicates and supports staff with missing authorizations and credentials in order
to meet minimum eligibility for certificated position.
● Serves as a resource to staff and outside agencies concerning credential eligibility,
requirements and resources.
Essential Duties of Leave of Absence Management and Interactive Process
● Assists with the administration and monitoring of leaves, workers compensation claims
and disability claims. Determines leave eligibility and provides appropriate and
required leave information to employees.
● Tracks and accounts for leave time.
● Preserves confidentiality of employee medical documentation and files.
● Maintains reasonable communication with employees on leave to facilitate smooth and
timely return to work.
● Communicates with administration to provide up-to-date information about employee
leaves, changes and work restrictions.
● Ensures compliance with leave related laws and school leave policies: Family Medical
Leave Act (FMLA), California Family Rights Act (CFRA), Americans with Disability Act
(ADA), Bay View Academy’s Paid Parental Leave Policy and Family Friendly benefits
Policy etc. and keeps up-to-date on applicable federal, state, local and school leave
policies and related laws.

Essential Duties for Payroll
● Assist with purchasing and payroll duties as assigned.
● Coordinate and oversee billing for After-School Care.
● Process timesheets for all part-time and non-exempt employees and certify through
the payroll system.
● Assist employees with questions regarding payroll.
● Computes individual payroll changes and prepares notification to the payroll office.
● Gathers and compiles information from a wide variety of sources and prepares reports
utilizing a computer and several types of software programs.
● Assist with accounts payable transactions and vendors.

Working Conditions
School working environment subject to bending, crouching or kneeling to assist students,
pushing/pulling and lifting of instructional equipment and supplies, sitting on chairs and/or
floor and leaning over desks for prolonged periods of time and reaching in all directions.
Typically indoor work environment; may require some limited exposure to outdoor
environments in order to supervise students. When working outdoors may be exposed to a wide
