Harmony At Home is seeking a Counseling Programs Assistant to support and grow Counseling Programs and its staff. The Counseling Programs Assistant will be under the general direction of the Counseling Programs Manager.

The job duties will include:

Assist with set up, preparation, clean up, coordination, and scheduling of annual orientation, trainings, staff meetings, and staff drop ins throughout the year
Assist with event planning
Attend mandatory trainings, staff meetings, and agency events throughout the year
Assist with program development and provide feedback and ideas on ways to improve program
Assist with screening of new applicants and schedule interviews for program vacancies
Assist in the development of community resource guides, clinical intervention binders, newsletters, and other useful publications for staff
Assist with grant reporting, collect and analyze data as requested by districts, school sites, grants, community partners, etc.
Assist with reviewing Salesforce data and communicating data to Program Manager and staff if requested by the Program Manager
Manage Reports and Dashboard in Salesforce on a weekly basis
Assist in maintaining program supplies and inventory (Salinas Office & storage unit); including art tubs for the counseling team
Assist with counselor supply request distribution
Deliver materials to school counselors as needed throughout the Monterey County, San Benito County and South County and potentially SLO County
Assist with updating program trackers and end of the year reports
Assist with distribution of new recommendations/after counseling matrix evaluations
Assist with reviewing staff time cards for accuracy
Assist with development and maintenance of counseling programs-specific resource website
Assist non-Spanish speaking staff by assigning them bilingual support for translation of client parent phone calls
Flexibility and availability on evenings and weekends as needed
Attend community events as needed
Answer, screen and transfer inbound phone calls appropriately
General clerical duties including photocopying, scanning, fax, mailing and emailing
Handle counselor requests for information/inquiries
Prepare/modify documents for counseling programs
Provide assistance at Harmony At Home fundraiser as needed
Assist with additional program and agency tasks as assigned by the Counseling Programs Manager and Director of Operations
Handle & prepare confidential legal documents as needed, such as CPS report outcomes and client participation verification letters, employee files
Other duties may arise as assigned
Counseling Programs Assistant hours are broken down as follows:

The Counseling Programs Assistant will be expected to work in person at the Salinas or Carmel office to fulfill program support hours
14 paid holidays per year as determined by Harmony At Home Holidays and/or school calendar holidays
40 hours of sick time per year
Vacation accrual based on Harmony At Home’s Policy
Paid office closure – last week of December

SKILLS & REQUIREMENTS

Bachelor’s Degree (preferably in a Business Administration or related field). A bachelor’s degree in progress will be considered depending on experience.
Bilingual (English & Spanish) highly preferred
Advanced computer skills and knowledge of relevant software
Knowledge of operation of standard office equipment
Knowledge of clerical and administrative procedures and systems
Knowledge of principles and practices of basic office management
Communication skills – advanced written and verbal proficiency in English
Planning and organizing
Prioritizing
Problem assessment and problem solving
Attention to detail and accuracy
Flexibility and adaptability
Ability to work individually and a a team
Must be able to lift approximately 30lbs.
The Counseling Programs Assistant position will be an hourly position paid at the rate of $25.00 per hour.
