JOB TITLE: Maintenance Support Clerk
REPORTS TO: Equipment Manager
STATUS: Non-Exempt
WORK SCHEDULE: Regular/Full time/Varied Hours/Weekends (if necessary)
LOCATION: Salinas, CA (Traveling if necessary)
SALARY Starting at $23.00 per hour (DOE)
JOB DESCRIPTION
The Maintenance Support Clerk will assist the Equipment Manager and Maintenance team and will be responsible for various administrative tasks, including payroll assistance, hiring support, equipment tracking, report preparation, inventory control, and fieldwork.
DUTIES AND RESPONSIBILITIES:
- Help track missed punches, time schedules, and corrections for all Maintenance mechanics and shop personnel.
- Assist with filing paperwork, displaying training materials, and supporting HR in the satellite office for Maintenance personnel needs.
- Assist the Equipment Manager in tracking equipment files, filling purchase, lease, or rental contracts, helping with DMV needs, and organizing state and local reports to ensure compliance (training will be provided).
- Review and complete monthly reports for equipment, input data into the Heavy Connect platform.
- Assist with inventory control, data input into Excel, and maintain inventory spreadsheets.
- Conduct fieldwork as needed, including taking equipment pictures, reviewing equipment inventories, and verifying physical locations.
- Organize and keep track of all equipment manuals, operator manuals, and repair manuals for Maintenance personnel use.
- Provide assistance with online parts searching.
- Must be insurable by our vehicle insurance company.
- Handle DMV-related tasks such as paying tags and registrations.
- Ability to Cross train on other duties to assist the rest of the staff as needed.
- Other tasks might be assigned.
SKILL / QUALIFICATION REQUIREMENT
- High school diploma or equivalent; additional education or certifications in administrative support or related fields preferred.
- Proven experience in administrative roles, preferably in a maintenance or equipment management setting
- Proficiency in Microsoft Excel and other data entry platforms.
- Strong organizational skills and attention to detail
- Ability to work independently and as part of a team.
- Excellent communication skills, both written and verbal
- Willingness to perform fieldwork as needed.
- Must be insurable by our vehicle insurance company and a Valid driver’s license if required to drive

WORK ENVIRONMENT

While performing the duties of this job, the employee is exposed at times to moving mechanical parts to high, precarious places and possible extreme weather conditions with temperatures ranging from 25 degrees to 110 degrees.
In this position the employee is regularly required to sit while performing desk or office tasks and to stand and walk while performing the field operation duties. The employee is infrequently required to sit; climb, balance; and stoop, kneel, or crouch, walk. The employee must infrequently lift to 25 pounds.
