Summary/objective:

Under supervision of the Director of Payroll, perform payroll reception and backup duties to the Corporate Receptionist.

Payroll Reception Duties

Picks up all documents from the white Harvesting mailbox
Picks up timesheets from the black mailbox near parking
Picks up truck driver timesheets from the beige mailbox near Receiving
Immediately forwards voluntary quit and terminations statuses to Payroll
The balance of the status’ is immediately forwarded to Human Resources
Sorts and distributes timesheets to payroll personnel
Organizes truck driver tickets
Scans harvest timesheets (pink tickets) & contractor timesheets to Yuma
Scans Production timesheets & verifies signatures
Ensures contractor documents returned from the Southern District are matched with timesheets and receiving records, verifies approvals, and submits them to Accounts Payable.
Performs duties that require the operation of a motor vehicle as an essential function of the role. Employees in this position must possess and maintain a valid driver’s license, a clean driving record, and comply with all applicable driving laws and company policies.
Regular and consistent attendance is mandatory
Other Payroll Reception Duties

Responsible for all payroll-related telephone and front desk inquiries by answering and researching employee/management questions
Distributes outstanding checks at the counter
Calls and sends letters to employees who have checks in the outstanding check box
Logs checks returned from the fields and organizes and scans signature sheets
Responsible for assuring adequate inventory of Payroll forms in the Training room
Performs Reception duties at the Payroll office
Backup to Corporate Receptionist

In the absence of and during the Corporate Receptionist’s scheduled breaks, performs all duties as listed in the Corporate Receptionist job description.
Orders supplies, including office nameplates, stationary, PO books, etc.
Codes for accounting entry
Proficient with operation and maintenance of mailroom equipment
Assists with postage, copiers, and folders
All reception interaction must be pleasant and professional at all times
Any request for time off should be coordinated with the Corporate Receptionist to ensure that the Corporate Reception Area is always covered.
Manages package distribution of those delivered via USPS, Fed Ex, UPS
Sorts packages for distribution
Contacts (by phone or email) individuals to pick up packages promptly
Monitors kitchen inventory supplies, ordering as required and approved by your manager
Upon delivery, replenishes kitchen supplies taking the balance to long-term storage
Ensures kitchen cabinets remain organized as intended
Performs periodic purge of outdated food products within kitchen cabinets
Unloads dishwasher first thing Monday morning and as required
Delivers and retrieve supplies to and from long term storage
Assures designated storage area is organized at all times
Uses the Company vehicle for company business, including but not limited to:Picking up mail from the Company post office box
Checking for notices to pick up packages at the post office window
Delivering specific mailing as directed, certified, etc.
Delivering mail to post office at end of each day
Retrieving mail from the corporate office external mail box
Delivering deposits as directed to the appropriate bank(s)
Delivering and exchanging IT backup tapes within the bank safe deposit box
Performing other banking duties as directed by your manager.
