Position Summary

Position Title: Volunteer and Community Engagement Coordinator

Department: Operations Location: AFRP Office-Pacific Grove, CA; travel as needed

Starting Pay: $24-$28/hourly DOE (non-exempt)

Reports to: Operations and Programs Manager

Position Type: Full-time 40 hours, base schedule M-F 8:30am-5pm with occasional flex schedule including some evenings and weekends to accommodate events as needed

Job Summary

The Volunteer and Community Engagement Coordinator is responsible for ensuring all AFRP programs have sufficient volunteers/fosters to meet their needs. They are responsible for all aspects of the volunteer program including recruitment, training, data management, task management, scheduling, support, and execution of community events. They must be able to easily discuss AFRP’s mission, programs, and services to the public.

Job Duties

Volunteer Recruitment, Retention, and Management

Develop, implement, and evaluate effective community volunteer/foster volunteer recruitment and retention strategies; actively recruit community volunteers/foster volunteers
Review new applications for community volunteers (foster volunteer applications should be directed to the Animal Program Coordinator and/or Operations and Programs Manager)
Onboarding, orientation, and training (in a timely manner) of community volunteers
Match volunteers with opportunities that suit their skills and interests and serve the organization
Maintain and update Civic Champs, ensure proper tracking of volunteer hours
Utilize other program management software as needed
Develop, implement, maintain, and evaluate internal volunteer policies and procedures including, but not limited to volunteer handbooks, powerpoints, handbooks, volunteer job descriptions
Develop and implement strategies for growth of the volunteer program (such as Volunteer Reward Initiative)
Motivate, evaluate, survey, and recognize volunteers; foster positive experiences for them to maximize volunteer retention
Facilitate introductions of volunteers to staff, other volunteers, and board members at events
Plan and execute annual Volunteer Appreciation Party
Provide ongoing development and training to volunteers
Community Outreach

Work with the general public and local businesses to rally volunteer support for AFRP’s mission and fundraising
Cultivate cooperative relationships with other nonprofits, businesses, organizations, and community leaders with a special focus on AFRP’s mission
Organize and coordinate outreach events with local schools, organizations, and businesses
Oversee and organize the schedule for all events; inventory and keep all event supplies organized
Coordinate volunteers to assist with events
Partner with other staff to promote events when relevant
Partner with the Marketing and Communications Associate Manager for social media, e-blast, and any other marketing/PR needs
Management of the events calendar on AFRP website
Maintain donation box locations, assign volunteers to collect full donation boxes, and recruit new locations within Monterey and Santa Cruz Counties

Other tasks

Send out a monthly newsletter to all volunteers and staff with updates, events, and other pertinent information
Provide a weekly update/recap to the Operations and Programs Manager and Executive Director
Management of volunteer@ email and other email accounts as needed
Support foster volunteers as needed
Maintain your office workspace in a tidy and organized manner
Responsible for maintaining cleanliness, tidiness, and organization of entire office in conjunction with other staff members
Report any concerns with volunteers or community partners to the Executive Director promptly
Provide animal care duties to animals housed at the office as needed
Professional development, continuous development of knowledge and skills in Volunteer Management through webinars and workshops
Perform other duties as assigned by the Operations and Programs Manager and/or the Executive Director

Knowledge, Skills, and Qualifications

College degree or equivalent work experience
Prior experience as a volunteer manager, experience working in the nonprofit sector or animal rescue sector, a plus
Proficiency with Google Suite programs, Apple computers and programs, and familiarity with Canva Willingness to learn programs
Demonstrates organizational skills, with the ability to manage multiple tasks, deadlines, and priorities effectively
Planning and organizing events including site selection, logistical arrangements, purchasing supplies, promoting events, scheduling and being the primary point of contact for the event
Comfortable with public speaking and interaction
Honest and reliable
Strong interpersonal skills to handle sensitive and confidential situation
Ability to multitask, able to handle stress and pressure consistent with the job duties
Strong written and verbal communication and social skills, able to project a friendly and professional demeanor at all times
Team player with the ability to work independently
Compassion for animals
Must possess a valid driver’s license with no restrictions and the ability to travel locally as needed and maintain current vehicle insurance
Weekend and/or evening availability as needed for events

Typical Working Environment/Interactions/Physical Demands

Subject to various weather conditions at offsite event locations
Interacts regularly with volunteers, other AFRP staff, AFRP Executive Director and Board Members, donors, general public, and program and public-owned animals
Constant (over 66% of the time) standing, sitting, bending, walking on various surfaces including but not limited to asphalt, cement, grass, dirt, uneven surfaces, etc
Frequent (34-66%) lifting up to 40 lbs, reaching over shoulders and head, reaching outward, grasping, holding, squatting, kneeling
Occasional (1-33%) lifting/carrying/moving 40+ lbs with assistance
