Description
Under general supervision, plans, organizes, directs and integrates operations of the programs, services and activities of the College’s intercollegiate athletic program including scheduling games and events, game management, monitoring student-athlete recruitment, eligibility and training, and ensuring federal, state and local reporting compliance; provides responsible and complex professional assistance to the program Dean in areas of expertise; and performs related duties as assigned.
DISTINGUISHING CHARACTERISTICS:
The Director of Athletic Operations is distinguished from other Directors by its responsibility for direction and oversight of the assigned athletic program and contribution to student athletes’ academic success. The incumbent serves as the College’s administrator for the operations and activities of the assigned athletic program and is responsible for a wide variety of independent decision making within general policy and regulatory guidelines.
Examples of Duties
• Plans, organizes and directs the activities, services and operations of an intercollegiate program; manages intercollegiate operations and ensures compliance with the College, state, federal and California Community College Athletic Association (3C2A) bylaws, regulations and guidelines including outreach, recruiting, eligibility, team and athlete safety and insurance, and Title IX.
• Coordination and oversight of practices, games, conditioning and strategy sessions.
• Develops, directs and coordinates the implementation of goals, objectives, policies, procedures and work standards for the program; recommends and administers policies and procedures; participates in developing and implementing college and Athletic department strategic plans, goals and objectives.
• Manages and participates in developing and administering the program’s budget; directs the forecast of additional funds needed for staffing, equipment, travel, materials and supplies; directs the monitoring of and approves expenditures; directs and implements adjustments, as necessary.
• Selects, trains, motivates and directs head coaches, assistant coaches, or other faculty and staff associated with the program; evaluates and reviews work for acceptability and conformance with program standards, including program and project priorities and performance evaluations; works with employees on performance issues; implements discipline and termination procedures; responds to staff questions and concerns.
• Develops and standardizes procedures and methods to improve and continuously monitor the efficiency and effectiveness of programs, service delivery methods and procedures; assesses and monitors workload, administrative and support systems, and internal reporting relationships; identifies opportunities for improvement and makes recommendations to the Dean, Athletics and Kinesiology.
• Oversees outreach and student recruitment for the program, including planning and coordinating student recruiting visits and coordinating the recruiting database and notification system.
• Oversees the student-athlete initial and continuing eligibility verification process and gradechecks; assists student-athletes with rules interpretation, appeals and reinstatement of eligibility; coordinates with faculty, counselors and coaches to provide student-athlete access to academic and student support resources needed to complete educational goals, including student academic progress, matriculation, and degree completion and transfer.
• Serves as liaison between the College, CCCAA and various athletic commissions, league representatives and related committees; completes and submits required forms, reports and documentation to state and local sporting event regulation agencies; provides data for a variety of mandated reports including the Equity in Athletics Disclosure (EADA) report and Gender Equity Report for CCCAA.
• With Head Coaches, develops and approves team schedules and the master game schedule for the program including regular season, postseason and non-traditional season activities; attends, manages and participates in game-day management including event and vendor staffing, officiants, and decorum; coordinates with internal stakeholders and visiting teams; collaborates with coaches and staff to arrange team travel; may travel with team.
• Collaborates with academic deans, department chairs, other faculty and staff to develop class schedules and student learning support programs, pursuant to proper course articulation policies and standards, student diversity, student needs and program requirements including building, fostering and advancing student-centered programs, services, events, outreach and activities that are integrated with established goals and objectives.
• With faculty, staff and administration, ensures compliance with California Code of Regulations, Title V, Accreditation standards and Healthcare Requirements; researches, compiles, interprets and disseminates information to coaches and student-athletes pertaining to National Association of Intercollegiate Athletics (NAIA) transfer requirements; facilitates student-athlete Name, Imaging and Licensing (NIL) opportunities.
• With the Dean, supports faculty and staff in developing new curricula and in planning and implementing new education and training programs; working with faculty, ensures planning and development of curriculum and Student Learning Outcomes (SLO); conducts program review and studies, recommends modifications to programs, policies and procedures, and implements changes; develops and updates reports and data-tracking success measures for curriculum, courses and program and operations.
• Establishes and maintains effective community relationships through outreach, partnerships and community engagement events; oversees and participates in fundraising activities; assists the department with overall fundraising/sponsorship initiatives, including annual fundraisers and other related activities.
• Makes presentations to the Board of Trustees, Executive Leadership and other groups; represents the College and presents at community meetings and events at local, regional, state and national conferences, meetings, workshops and training seminars.
Other Functions:
• Participates on various committees and advisory boards; makes presentations to the Board of Trustees, Cabinet and other College groups.
• Performs other related duties as assigned.
• Assists the Dean of Athletics and KINS in athletic events and initiatives.

• Principles and practices of technology and software use for databases, accounting, spreadsheets, and other business processes.
• Budget development, administrative practices, and organizational and management practices as applied to the analysis and evaluation of projects, programs, policies, procedures, and operational needs.
• Principles and practices of employee supervision, including work planning, assignment, review and evaluation, and the training of staff in work procedures.
• Methods and techniques for the development of presentations, business correspondence, and information distribution; research and reporting methods, techniques and procedures.
• Principles and procedures of recordkeeping, technical report writing, and preparation of correspondence and presentations.
• Techniques for effectively representing the District in contacts with other colleges, community groups and various business, professional, educational and regulatory organizations.
• Techniques for providing a high level of customer service by effectively dealing with the public, vendors, students and District staff, including individuals of various ages, socioeconomic, and ethnic groups.

Supplemental Information
• A master’s degree and four years of formal training, internship or leadership experience in coaching or athletic department administration; OR an equivalent combination of training and experience.
• Experience in intercollegiate programs is preferred.
LICENSES AND OTHER REQUIREMENTS:
Incumbents in this classification may be required to possess a valid California driver’s license and use of a personal vehicle. Possession of, or ability to obtain, a valid First Aid Certificate and CPR Certificate.
PHYSICAL EFFORT/WORK ENVIRONMENT:
Office, community and athletic field environment; constant interruptions; vision to read printed materials and a computer screen, and hearing and speech to communicate in person and over the telephone. Standing in and walking between work areas is frequently required; sitting or standing for extended periods of time; dexterity of hands and fingers to operate office equipment; lifting, moving and carrying boxes and other materials; may require off-site duties and activities.
CONDITIONS OF EMPLOYMENT:
This is a regular, full-time, academic management position. Management salary range VIII: $117,753.00 to $143,129.00annually (within this salary range, the successful candidate’s starting salary will be commensurate with education and experience).
