Full Time Bookkeeper/Tax Preparer

Reports to: Office Manager
 

JOB SUMMARY
 

Full Charge Bookkeeper/Tax Preparer will be responsible for write-up of revenues and expenditures for small businesses including sole proprietorships, partnerships and corporations.  Responsible for preparing federal and state tax returns of individuals and businesses: also prepares other tax filings (sales, payroll, excise, et.al).

QUALIFICATIONS
 

Minimum AA or AS degree in accounting or business management, Bachelor’s degree may be in progress
Minimum 2 (two) years bookkeeping experience
Complete Lopez Tax Service, Inc. basic income tax course
Attention to details
Ability to work unsupervised

Customer service skills (client friendly)
Teamwork abilities (works closely with fellow employees)
Sales ability (ask for referrals, sell Express Pay Lane, bring in new bookkeeping clients, etc.)

Coaching skills (willing to mentor and be mentored)
Understanding fundamentals of generally accepted accounting procedures
Demonstrated skills in software programs such as Quickbooks®, Excel, Word, etc.
Knowledge of business English, spelling and math.
Works with confidential client matters
Able to be bonded
 

RESPONSIBILITIES
 

Fully understand our policies and procedures manual
Prepare financial statements and payroll reports
Reconcile accounts with bank statements
Comply with Federal, state and local statutes and regulations
Keep client information confidential
Prepare personal tax returns.
Prepares corporate, partnership, and S-Corp returns.
Prepares amended returns, personal tax projections, property tax refunds, employee benefit plan returns, carry back returns, and payroll tax returns.
Dress neatly and appropriately for the position held
Act in a professional manner at all times
Follow working instructions as directed by immediate supervisor
Assist in all office operations when needed
Maintain continuing education and CTEC* registration
Willingness to take on challenges (new clients, supervising employees, answering phones, preparing difficult tax returns, visiting clients place of business, etc.)
Be prepared to research when faced with unfamiliar situations (research irs.gov, ftb.ca.gov, use help features in software, ask fellow staff members or professionals for guidance, etc.)
 

OTHER FUNCTIONS
 

All professional staff should be familiar with IRS Circular 230 Regulations Governing the Practice of Attorneys, Certified Public Accountants, Actuaries and Enrolled Agents before the IRS.  CPA’s must be familiar with the AICPA Professional Code of Conduct.  It is the individual responsibility of every employee to maintain a current awareness and understand of and to fully comply with the company’s code of ethics, independence rules and quality control practices.

PERFORMANCE EVALUATIONS

 

 

You will be evaluated at least once a quarter with your manager, if necessary, you may be evaluated monthly
You will visit each client’s place of business at least once per quarter
At this visit you will assess the client’s inventory, purchase of equipment, changes in operations, review of our fees, client’s invoice, collect past due amounts, review client’s increase or decrease of our work, pick up work if necessary
Explain our services to our clients and ask for referrals
Read one book from our library, or choose for somewhere else, needs manager’s approval, once a quarter, write a report and you may be asked to give an oral report at one of our meetings
Attend and pass our bookkeeping and tax course(s)
You will be evaluated on how current you keep your bookkeeping clients work completed, how your clients keep current on their payment to us, doing their payroll, reconciliation and other write up work when needed
You will be evaluated on how you treat your clients, whether they are bookkeeping, tax, or both and how you keep their information confidential
Review your P&L, Balance Sheet, Payroll for being updated and current for all your clients.
Your bookkeeping fees must be 2X your salary, or you will be paid 50% of what your billing is for averaged over the most current past quarter for the next quarter.  You will then be assessed for suitability for this kind work.
Submit a time management spreadsheet as your quarterly review, to assess how much time you spend on each client
Bring your client billing worksheet and bookkeeping checklist to the evaluation, this must be up to date and posted on SharePoint
Establish one personal/professional goal per quarter
Reviews may be once a month, if necessary,
You will be evaluated for suitability for this kind of work
Evaluations will be scored on a 5 to 1 grade, 5 being excels all expectations and decreasing to 1 which could result in termination of employment, scoring will be as follows:
 

90% to 100%                  Meets all expectations

 

80% to 89%                     Above average, could use improvement

 

70% to 79%                     Average, needs improvement

 

Below 70%                      Needs immediate coaching and remedial attention, or

 

disciplinary action

 

 

Reviews may be once a month, if necessary, you will be offered coaching and remedial education, you may also be evaluated for suitability
